Position Summary: The Division of Research and Engagement at UNC Greensboro is seeking a highly organized, dependable, and professional student to provide administrative and office support. This position is ideal for a student who is detail-oriented, communicates well, takes initiative, and enjoys helping an office operate efficiently.
The Administrative Student Assistant will work closely with division leadership and staff and will provide day-to-day support similar to that of an office or administrative assistant. The successful candidate should be comfortable managing multiple responsibilities, working independently, interacting professionally with faculty, staff, students, and external visitors, and handling information with appropriate discretion. We are particularly interested in a student who has substantial and consistent availability during regular business hours, Monday through Friday, between 9:00 a.m. and 5:00 p.m. The specific work schedule will be established based on the student's academic schedule and the operational needs of the office.
Primary Responsibilities
- Provide general administrative and office support to division leadership and staff.
- Assist with calendar management, scheduling, and coordination of meetings and appointments.
- Prepare meeting materials, agendas, documents, and other administrative materials.
- Assist with routine email correspondence and other office communications.
- Organize and maintain electronic and paper files, records, and documents.
- Assist with data entry, spreadsheets, tracking documents, and maintaining accurate records.
- Help coordinate meetings, workshops, events, and visitors.
- Assist with room reservations, meeting logistics, materials, and other event-related needs.
- Greet and assist visitors and provide professional front-office support as needed.
- Assist with copying, scanning, printing, document preparation, and other routine office functions.
- Help maintain an organized and professional office environment.
- Track assignments and follow up on administrative tasks to ensure they are completed on time.
- Assist with special projects and other administrative duties as assigned.
Required Qualifications: The successful candidate should demonstrate excellent organizational and time-management skills; strong written and verbal communication skills; attention to detail and accuracy; professionalism, reliability, and discretion; the ability to manage multiple assignments and priorities; and the ability to work independently while also functioning effectively as part of a team. Candidates should be comfortable using Microsoft Office applications, particularly Outlook, Word, Excel, Teams, and PowerPoint, and should be willing to learn other university systems as needed.
The position requires someone who can follow through on assignments, communicate when additional information is needed, and take responsibility for completing tasks accurately and on time.
We are especially interested in candidates who take initiative, anticipate needs, are comfortable asking questions, and can identify what needs to be done without requiring constant direction.
Schedule: This is an in-person student employment position. Preference will be given to students who can provide consistent weekday coverage during regular office hours between 9:00 a.m. and 5:00 p.m.
