Housing & Residence Life - Office Assistant

NOTE: This position is year round as office is open Monday-Friday with the exceptions of holidays. The position may request occasional weekend hours and the opportunity to work during University Breaks. 

Job Description and Desired Job Qualifications:

The Office Assistant is a front-line member of the Housing and Residence Life team. This position requires that the student employee be willing to work during the academic breaks and summers when the HRL office remains open. Due to the training and learning curve associated with the position, preference may be given to students with a graduation date of May 2026 or later. Preference may also be given to students who currently live in HRL housing or have lived on campus in the past. Preference will be given to students with Federal Work Study financial aid.

Typical responsibilities for this position include, but are not limited to:

• Answering main departmental phone lines and fielding questions from students, parents, staff, and faculty

• Assisting in mail processing and distribution

• Working in Word, Excel, Google and Mercury (related to HRL’s housing assignment system) to help answer questions concerning on-campus housing

• Assist with the Access Control System (key lock-outs, reconciliations, electronic access security system (training provided in these areas)

• Assist in critical periods and processes of the department (check-in, Fall Focus/Open House, check-out, room sign-ups, housing application payments, etc.)

• Assist with small projects as needed by Central Office Staff

Desirable job qualifications include but are not limited to:

• Previous office experience

• Excellent Customer Services skills (both phone and face-to-face)

• Good oral and written communication abilities

• Computer skills relating to Google documents, Word and Excel

• Ability to work independently

• Ability to learn about various departments throughout the University in order to serve as a more effective referral agent if needed

• Able to work under pressure at certain times of the year such as check-in/out, housing applications, room selections, room changes, etc.

• Be detail-oriented when performing administrative functions

• Maintain confidentiality of department and student information Be prompt for work and not have a history of being excessively absent

• Knowledge of Google documents

Candidate must haves:

• Must have a graduation date of December 2027 or later

• Must have availability to work Tuesdays, Thursdays, and Friday on a weekly basis.
