ACE is the main student-led programming board on UNCG's campus. ACE provides events and programs such as comedy shows, concerts, motivational speakers, cultural events, Homecoming, and much more to the UNCG student body.
General Executive Board Position Responsibilities and Expectations
These responsibilities and expectations are applied to all ACE Executive Board positions.
- ACE Executive Board members are required to maintain a 2.5 GPA to remain in good standing and maintain eligibility for ACE Executive Roles. GPA checks will occur at the end of every semester.
- Hold five (5) consistent office hours per week.
- Participate in self-evaluation discussions with the ACE Advising team.
- Adhere to the ACE constitution and By-Laws, including mandatory attendance at general body meetings, and Executive Board meetings.
- Abide by the UNCG Student Code of Conduct.
- Consistently consider ACE’s role in being good stewards of allocated Student Fee Dollars in planning programs that represent the entirety of UNCG’s student body.
- Serve as a leader and a positive role model for fellow ACE members and the UNCG community.
- Meet on a weekly basis with an assigned member of the ACE Advising Team.
- Serve as an ambassador for ACE.
- Every ACE Executive Member is required to attend at least two events per semester other than their own as volunteers to support the work of ACE peer leaders.
- Actively participate in any ACE retreats and/or training.
- Be consistently on time and prepared for meetings.
- Follow required timelines and requirements for ACE event planning processes and procedures.
- Follow all event and crisis management protocols outlined by advising team.
- Represent Campus Activities and Programs through involvement and volunteering at specific requested university wide events and initiatives.
- Communicate openly with ACE advising team.
Vice President Role Description
The ACE Vice President of ACE is a Leadership Team position and is responsible for managing ACE’s General Body, Street Team, and committees, through recruiting and retaining new and current members, managing member placement for committee work, and leading General Body meetings once a month. The ACE Vice President communicates with ACE General Body and ACE Programming Chairs to ensure volunteer coverage of ACE Events. This person is responsible for managing the ACE Member of the Month program (September-April) and planning of the organization's End of Year Celebration, all retention and culture building programming within the General Body, and streamlining all relevant committee communication. The ACE Vice President is the head officer in the event of the President’s absence or inability to perform their duty.
TIME COMMITMENTS
The ACE Vice President shall hold 5 office hours per week. and report to their advisor weekly. Please note that events and ACE meetings do not count as office hours. This position is also expected to attend and participate in weekly ACE Executive Board meetings, general body meetings, weekly 1:1s with their advisor, ACE events, in addition to potential 1:1 meetings with other executive members.
COMPENSATION
In return for satisfactory performance, the ACE Vice President receives a stipend of $1,875 per year disbursed in nine (9) monthly installments from August to April.
POSITION RESPONSIBILITIES AND EXPECTATIONS
Vice President Responsibilities and Expectations
- Meet weekly with the President to discuss ACE projects, general updates, and vision for the future.
- Attend weekly one on one meetings with CAP's Coordinator for Programming.
- Hold regularly scheduled check-ins/meetings with the Marketing Chair about the Street Team to discuss ideas, assign tasks and projects, and provide training and development to excite, equip and empower this group of emerging student leaders.
- Host General Body Meetings for ACE at least once a month including creating an agenda that is shared 24 hours in advance, any audio/visual resources, programming updates, committee updates, team building and training and other relevant content.
- Design and implement semesterly and ongoing recruitment programs to attract and bring new members into the ACE organization including information sessions, interest meetings, tabling, etc. and create and disseminate relevant ACE membership marketing materials in conjunction with the Marketing Chair.
- Maintain oversight over the General Body of the ACE organization and as needed committees for upcoming events and programs.
- Coordinate the committee assignment process for ACE General Body in partnership with ACE Chairs on an as needed basis.
- Manage the Volunteer sign-up process for all ACE Events/Programs in conjunction with ACE Executive Board.
- Design and implement a retention program for ACE General Body members including New Member Trainings, Mentor/Mentee programs, team building, ongoing trainings, member of the month, general body socials, service projects, etc.
- Support ACE General Body to plan ACE events that respond to UNCG Student Interests and involve General Body Members in idea generation, planning, and facilitation of events.
- Alongside the President, serve as a moderator for all ACE communication avenues.
- Alongside the President, plan fall Welcome Week events.
- Manage assigned budgets by updating spending records, ensuring that receipts are shared with assigned members of the advising team, planning spending of funds, and communicating with ACE advisors, president, and executive board about budgetary needs.
Preferred Experience and Qualifications
- Previous experience within ACE as an organization is preferred.
- Must be a current undergraduate student.
- Previous experience with project management and leadership skills.
- Ability to communicate consistently with multiple parties.
- Well developed time management skills.
- Proficiency with programs like the Microsoft Office Suite, Google programs, and/or Canva.

Marketing Chair Role Description
The Marketing Chair will manage marketing, publicity, and branding for Activities and Campus Events (ACE) and ACE’s events and programs. Responsibilities include but are not limited to managing the submission process for all marketing related needs that Programming Chairs have regarding their events (graphics, social media captions, flyers, etc.). The Marketing Chair will spearhead all marketing initiatives, including large programming weeks (Homecoming, Winterfest, and Spring Fling), general organization giveaways, promotional items, recruiting and retaining new and current Street Team members, managing the logistics of the Street Team, and marketing for Programming Chair events. In collaboration with the Vice President and the Street Team, the Marketing Chair will coordinate tabling, and any other creative marketing strategies to brand ACE across campus and market upcoming programs. The Marketing Chair will maintain and utilize the ACE Brand Kit to ensure ACE is unilaterally branded across all events/programs and initiatives. This role, along with the ACE advising team, will manage all of ACE’s social media (Instagram, Tik Tok, etc.) The Marketing Chair will ensure all promotional materials utilized within ACE meet accessibility standards outlined by best practice resources and an ACE related brand guide. The Marketing Chair will post consistently to engage with the UNCG student body and answer any event questions.

Marketing Chair Responsibilities and Expectations
- Attend one on one meetings as assigned/requested by the President/Vice President for project updates and collaboration, support, and future planning etc.
- Attend weekly one on one meetings with assigned member(s) of the advising team.
- Manage ACE brand kit that includes logos, official colors, style recommendations in compliment to university brand guidelines.
- Implement new and ongoing projects to manage the ACE brand across all events/programs and initiatives including designing general promotional materials and giveaways in accordance with the most updated ACE information including informational flyers, tablecloths, flyers, social media posts, digital signage etc.
- Manage the process for the Executive Board to request Marketing support for events/programs and initiatives including submission form, content strategy meetings, content design and approval, dissemination strategy etc.
- Hold regularly scheduled check-ins/meetings with members of the Street Team to discuss ideas, assign tasks and projects, and provide training and development to excite, equip and empower this group of emerging student leaders. This may be done in tandem with the Vice President.
- Stay up to date on best practices and campus resources for marketing and communication and ensure all marketing strategies consider target audience, new and emerging tactics etc.
- Coordinate unified marketing strategy for large-scale programming weeks such as Weeks of Welcome, Winterfest, Spring Fling, Homecoming, etc.
- With the rest of the Executive Board, decide on general giveaways and marketing materials that will help promote the ACE brand and engage students in the organization.
- Manage assigned budgets by updating spending records, ensuring that receipts are shared with assigned member(s) of the advising team, planning spending of funds, and communicating with ACE advisors, president and Executive board about budgetary needs.
- Manage ACE social media accounts (Instagram, Tik Tok etc.) including brand management, event/program marketing, and collaborations through a content creation and release schedule in collaboration with ACE advising team. This includes answering questions asked on social media and managing digital relationships while engaging with other organizations, university and community partners.
- Learn and implement accessibility standards into ACE marketing, publicity and branding procedures to ensure that all materials follow best practice guidelines and allow any member of the UNCG community to learn and engage with ACE.

- The Marketing Chair’s presence at events is essential to marketing. Candidates should ensure they have ample availability in their schedule to attend ACE events regularly (usually 1-2 events per week) in addition to office hours, general body meetings, one on one meetings, Street Team meetings, and executive meetings.
Programming Chairs Role Description
The Programming Chairs are responsible for programming events that engage the UNCG Student Body on behalf of Activities and Campus Events (ACE). The required number of events to plan will be assigned to ACE Programming Chairs before each semester begins by the advising team based on resources and emerging areas of focus. ACE events must have learning outcomes, plans for assessment, and must fall into at least one of the five Spartan Experience Domains (connections, career, leadership, wellbeing, inclusion). Programming Chairs will also be involved in planning traditional programs and collaborative events including but not limited to Homecoming, Spring Fling, and partnerships across campus. Programming Chairs are required to collaborate with other organizations and university partners at the direction of the ACE President, based on number of requests, and group discussion and assignment of semesterly collaboration projects. Programming Chairs will manage budgetary dollars and follow university wide, and CAP outlined procedures to plan and execute the steps within the event planning process. In collaboration with the Executive Board and the Vice President, Programming Chairs will decide when and how committees and the services of the Street Team will be utilized to support their work.

- Attend 1:1 meeting as assigned/requested by the President/Vice President for project updates and collaboration, support, and future planning etc.
- Attend weekly 1:1s meeting with assigned member of the advising team.
- Lead and facilitate biweekly committee meetings, committees are comprised of ACE General Body Members and Street Team Members.
- Plan and execute assigned number of events each semester, following university wide and CAP procedures for event planning.
- Ensure all events aligned with organizational commitment to the Spartan Experience in collaboration with the ACE advising team.
- Communicate committee and Street Team needs to Vice President and Executive Board in assigned timeline to receive support in the event planning process.
- Manage event volunteer sign up and staffing for assigned events.
- Participate in the planning and execution of assigned traditional programming weeks (Homecoming, WinterFest, etc.)
- With the support of the ACE President and Advising Team, ensure that all ACE events are accessible and appeal to the entire student body, utilizing the best practices resources provided as well as emerging university resources in these areas.
- Learn and implement risk management procedures into event plans and execution
- Carryout assigned collaboration projects by ensuring follow through on communication, planning and execution of partnership events.
- Manage assessment, reflection, and data collection to gain feedback on planned events and present findings to ACE Executive Team. Work alongside ACE President and advisors on data gathering initiatives to make data-informed decisions on future event planning within ACE
